When Tri-State homeowners call a HVAC contractor
Two peaks, and both are bad times to be shopping. The first hard freeze exposes furnaces that were quietly failing all summer; the first stretch above 90 does the same to condensers. In a mixed-humid climate that runs both seasons hard, the equipment works year-round and it ages on a real schedule.
The better play is replacing before failure rather than during it. Emergency replacement removes your leverage, your ability to get three bids, and usually your choice of equipment.
What drives the price
System size and efficiency rating, whether furnace and AC are replaced together or split, ductwork condition and any sealing or resizing, line-set replacement, electrical and gas work at the unit, thermostat and controls, and permit and disposal fees. Whether the installer runs a Manual J load calculation rather than matching the tonnage already there is the difference between a system sized for your house and one sized for the last guy’s guess.
Cost context: HVAC replacement cost in Evansville and Mount Vernon / SE Illinois. Timing: replace before failure. Ducts in an unconditioned attic are a related cost — see attic insulation in older Tri-State homes.
Permits: who has jurisdiction over your address
Across the Tri-State, whether a project needs a permit — and who issues it — depends on whether your address sits inside city limits or in unincorporated county. That line matters more than the county border, and the answer is different on two sides of the same road.
Each town hub on this site names the permitting authority for that jurisdiction, with the phone number and the official source: Evansville, Newburgh, Boonville, Chandler, Princeton, Mount Vernon IN, Tell City, Henderson, Owensboro, Carmi, Mount Vernon IL and Mount Carmel. Confirm with that authority directly. A contractor’s assurance that “you don’t need a permit for this” is not a permit, and unpermitted work becomes your problem at resale.
What to get in writing
Ask every bidder for the same list, so you are comparing the same job. Line items that appear on one bid and not another are where the price difference usually hides — see how to read a contractor quote.
- Equipment brand, model numbers and efficiency ratings for every piece
- Whether a Manual J load calculation was run, and what it returned
- Furnace and AC together or one now and one later
- Ductwork: sealing, repairs, resizing, or left alone
- New line set or reused
- Electrical and gas work at the unit, and who pulls that permit
- Thermostat model and whether it is included
- Old equipment haul-off and refrigerant recovery
- Startup and commissioning — static pressure and airflow checked, not just “it turns on”
- Labor warranty length separate from the equipment warranty
Red flags
- A tonnage quoted over the phone without anyone seeing the house
- “Same size as what you have” with no load calculation
- A deal that expires today
- Refrigerant top-offs sold repeatedly without ever finding the leak
- No permit mentioned anywhere in the paperwork
None of this replaces checking licensing and insurance yourself — how to hire a contractor walks through what to verify and how.
